Biometric attendance system for schools and colleges

Schools rarely have a dedicated IT team. The person who set up the attendance machine is usually the accountant or the head clerk, and the system has to survive that reality: nothing to install, no server to maintain, and a daily register the principal can sign.

For a school the best biometric attendance system is the one with the lowest operational burden. Schools typically run one or two terminals per campus, have no IT staff, and must produce a defensible daily staff register for a management committee or an inspection. AionHRMS runs in the cloud on the terminal a school already owns, needs nothing installed on any school computer, and carries attendance through to salary for teaching and support staff alike.

Why the free software usually fails in a school

The pattern is consistent. The software is installed on the accountant's desktop. It works. Two years later that computer is replaced, or the accountant leaves, or the disk fails — and with it go both the attendance history and the enrolled fingerprint templates. The school then re-enrols four hundred staff by hand.

  • Attendance history and biometric templates live centrally, not on one computer
  • Replacing or resetting a terminal does not mean re-enrolling anyone
  • No dependency on one staff member knowing how the system works
  • Any authorised person can read the register from any browser

Teaching and non-teaching staff, counted the same way

A school's attendance problem is rarely the teachers. Support staff, housekeeping, drivers, security and canteen workers arrive on different patterns, and their attendance drives the wage disputes. Putting everyone on the same register removes the parallel paper system that inevitably develops.

  • One register for teaching, administrative and support staff
  • Multiple campuses in a trust reporting into one place, with per-campus administrators
  • Staff enrolled at the main gate recognised at the hostel gate without re-scanning
  • Salary computed from attendance, with paid leaves applied per month
  • Access withdrawn the day a staff member leaves, without touching the device

Frequently asked questions

Does AionHRMS take student attendance?
No. It handles staff attendance, access control and staff payroll. Student attendance is period-wise and tied to a class timetable and parent communication, which is a different product. We would rather say so than sell you something that fits badly.
Can we produce a monthly staff register for the management committee?
Yes. The daily register is readable in the browser at any time and can be exported for a period. Because every punch keeps its device and verification method, the record holds up when a specific day is questioned.
What if a staff member's fingerprint does not read?
Common with housekeeping and kitchen staff whose fingerprints wear down. Issue an RFID card or use face recognition — the method is recorded either way, so the register stays complete.
Do we need internet at the gate all the time?
No. The terminal verifies staff locally and buffers punches when the link drops, uploading the backlog when it returns. A brief outage costs nothing.
